The Asia Foundation is soliciting applications from resident Chinese nationals for the position of Finance and Administrative Assistant.
The Asia Foundation in China supports legal reform, improved governance, economic reforms, development of the non-profit sector, and women’s rights and opportunities. Given China’s importance on the world stage, the Foundation also works to facilitate a more mature, stable, and normal China-U.S. bilateral relationship.
TITLE: Finance and Administrative Assistant
LOCATION: The Asia Foundation Beijing office
REPORTS TO: Grants and Awards Manager Several years experience in general accounting, administration and general services with an international organization.

EDUCATION:Bachelor’s Degree
OTHER SKILLS AND KNOWLEDGE:Fluent oral and written English, computer skills (Word, Excel, spreadsheets and accounting software), ability to work effectively in a multinational environment, strong interpersonal and communication skills. Knowledge of international and Chinese NGOs is an advantage.
Under the general supervision of the Grants and Awards Manager and in support of the Office Manager and Finance Manager, the Finance and Administrative Assistant responsibilities include the following:
• Answering phones & taking accurate messages, operating office communication system (e-mail, fax, courier service, & regular post), routing incoming mails & faxes to appropriate staff.
• Assisting Office Manager in logistic arrangement for employees & grantees’ travel (flight & hotel reservation).
• Handling petty cash and banking transaction (withdrawing and depositing funds), preparing advance slips and settlement slips as per petty cash policy.
• Preparing payment vouchers with all supporting documentation.
• Preparing grant registering forms for head office.
• Assisting Grants and Awards Manager in preparing grant financial report.
• Receiving visitors and direct them to relevant staff.
• Maintaining updated directories, contact lists, and addresses of relevant organizations.
• Translating memos and other materials from English to Chinese & vice-versa; type and/or word process documents, such as forms, lease agreement, etc.
• Typing, photocopying, preparing invitation cards and other materials for social activities.
• Supporting Grants and Awards Manager in maintaining grants files.
